Job Title: Business Operations Manager

Department: Project and Development Services (PDS)

Reporting To: Pacific Southwest Market Lead

Candidate location: Southwest Region (Orange County, San Diego, Los Angeles or Phoenix) - can be fully remote or hybrid with occasional travel to onboard new employees


We are seeking a business operations manager who is passionate about creating positive change within teams and organization. The right candidate for this role is a natural at creating order out of chaos; a master at creating clarity out of ambiguity; and someone who can lead and influence teams from the inside out. We are looking for an exceptional communicator who seeks first to understand and inspires action with articulate and thoughtfully crafted written and verbal communications. The successful candidate will have a bias towards action; and will leverage data to help others make proactive, informed decisions. In this role, you will work directly with the West Region Leadership team to deliver exceptional outcomes as it relates to our three priorities: Inspire our People, Thrill our Clients, Grow our Business.


Develop and direct region-wide team engagement and communications programs to deepen team connection to our vision and to each other to (inform, influence, and inspire).

Direct integrated cadence of team communications, working with key stakeholders to craft, execute and measure touchpoints and deliverables.

Connecting/integrating a wide variety of cross-functional, national PDS ongoing initiatives related to culture, team development, brand, and recognition with the goal of building community and maximizing commitment to our vision/strategic priorities.

Direct creative projects such as podcasts, videos, events, or other mediums that maximize the reach of key content and helps align the company with our objectives and priorities.

Team Integration / Engagement

Direct and manage onboarding of new employees, including the development and process improvement of relevant resources.

Maintain strong relationships with regional leadership to execute strategic and people related objectives.

Lead/own existing culture initiatives and develop future programs.

Work with regional leadership to spearhead all initiatives related to strategy, development and talent aligning with the regional mission/strategic plan.

Work with market leads to implement regional initiatives.

Promote cross-functional/regional awareness about what we do and who we are.

Work with regional and markets leadership to support development and execution of adoption strategies for new tech/initiatives.

Monitor key metrics and trends related to culture to identify, implement and share best practices across regional partners. Participate in analysis of culture survey results and support development of strategies to respond to and communicate.

Oversee our internal knowledge base and electronic shared files, including identifying and implementing the right tool to help us easily share content with employees (SharePoint, Outlook, Poppulo, etc).

Meetings & Events

Direct development and preparation of management reports, agendas, meeting minutes, and presentations.

Direct the planning, agenda, logistics, and execution of all regional events and meetings such as quarterly Town Halls, monthly leadership meetings and business reviews, quarterly account reviews, annual retreats.

Partner with national communications and marketing leads in support of meeting and events.

Support cross-functional team of internal stakeholders in visioning and production of client and internal deliverables.

Facilitate regular team meetings focused on keeping team and associated deliverables on track.

Oversee event/meeting logistics including venue selection, speaker lineup, attendee registration, lodging, travel, food and beverage, audio/visual support, etc.

Direct the creation and execution of culture related events and programs aimed at increasing engagement, community impact, and brand reputation.

Partner with internal subject matter experts to help shape speaker content so that it's inspiring to team members and achieves the desired impact.

Data Analytics & Management

Understand PDS data requirements across various functions (projects, HR, finance, etc.) and leverage Business Intelligence dashboards to analyze and identify gaps in data and improve data integrity

Proactively communicate challenges based on raw insights to leadership and participate in identifying solutions to continuously improve our data accuracy and integrity

Gather raw data and use creative skills to visualize and graphically represent data in a way that our teams can simply digest

Assume a leadership role in ad hoc projects related to management of data

Manage the internal compliance metrics to achieve maximum quarterly results

Advocate adoption and use of technology

Manage customer centric data with platforms such as Salesforce


Oversee administrative functions such as, travel needs, expense reports, and calendars for executive team.

Oversee marketing and business development tasks including presentations, responses to proposals and research.

Conduct research and summarize results for leadership.

Proactively, with highest level of quality and accuracy, manage special projects as assigned.

Recommend appropriate alternative solutions when conflicts occur.

Consistently demonstrate a passion to improve (processes, technology, communications, culture, data, etc.).

Endeavor to foster employee motivation and empowerment to continuously improve the quality of professional services.

Through process development and facilitation, support the improvement of company project delivery by managing a formal project review process which includes identifying and assigning technical resources to review contractual requirements and risk.

Support the positive influence of project delivery excellence through introduction of company best practices, implementation of start-up and closeout project procedures, development of standards and phased quality checklists, along with management tools and documents.

Direct sharing of lessons learned and best practices to leverage achievements across projects and area offices.

Identify and contribute to the development and implementation of corporate strategic initiatives.

Business Development/Marketing

Project manage and mentor Business Development and marketing staff throughout pursuit, including development of proposal, interview, and preparation of client pitch materials.

Direct/contribute to the development and planning of business growth strategy around the public sector, identifying target clients and growth opportunities.

Manage or direct the development of win plans for strategic opportunities including identification of client requirements and gaps.

Direct/contribute to development of client presentations and pitches.

Develop or expand on effective client service by supporting and improving client relationship management with current and prospective clients.

Support VPs in local markets with increasing new business by identifying, qualifying, and evaluating project opportunities.

Direct/contribute to internal “Go/No-Go” decision making process.

Direct/manage conducting post-opportunity debriefs on wins and losses when applicable to gain client information.

Support or oversee technical writing for client requests for qualifications and proposals.

Support or oversee regional participation at industry conferences, speaking engagements, and exhibits, when applicable.


Commercial real estate experience required (If you have commercial construction experience we highly encourage you to apply!)

Strong interpersonal skills with the ability to interact with executive-level internal and external clients, in-person and remotely

Self-starter who takes initiative and can work with little direction as well as collaboratively as part of larger, dynamic teams.

Strong analytical skills and technical expertise to ensure the quality and accuracy of data, with ability to process, visualize and communicate findings to help leaders make informed decisions

Exceptional communication skills (written and verbal)

Obsessed with quality of product and attention to detail with the ability to prioritize and manage the often-changing needs of the team

Drive tasks to timely completion, while demonstrating agility to anticipate higher priorities

Knowledge and proficiency with Microsoft Office Suite (Teams, SharePoint, Word, Excel, PowerPoint, Outlook)

Adobe Creative Suite, on-line schedulers for travel and booking, Salesforce, and working proficiency in Tableau and/or Smartsheets preferred

Consistently demonstrate highly positive and collaborative team perspective

Demonstrated ability to maintain confidentiality and use good judgment in making independent decisions with a high degree of quality, tact and diplomacy.
